Review incoming order requests to identify:
- If it involves a new customer: initiate the ICL onboarding process and collect Shipping & Logistics Instructions (SLI).
- If it's an existing customer: verify account status (Accounts Receivable), ensure Atradius or insurance coverage is valid, and confirm product registration status.
- For new products (even for existing customers), initiate product registration procedures, including:
- Label and bag design approval.
- Regulatory or compliance checks specific to the destination country.
Once the request is validated:
- Prepare and send the Proforma Invoice and SLI to the customer.
- Coordinate with Finance to confirm prepayment or Letter of Credit (L/C) conditions before forwarding the Purchase Order (PO) to the Netherlands team.
After Finance approval and receipt of signed Proforma:
- Submit Intercompany PO to the Netherlands following defined procedures.
- Coordinate with the NL and UK teams to monitor production status and shipping lead times.
Maintain ongoing and proactive communication with the customer:
- Provide updates on order status, production progress, and shipping timelines.
- Act as a liaison between the customer and internal teams to resolve any order-related issues.
After shipment:
- Prepare export documentation according to the SLI.
- Share draft documents with the customer for review and approval.
- Send final original documents upon confirmation.
This role involves a significantly complexity for non-EU transactions, which require:
- Strict compliance with trade regulations and customer onboarding.
- Management of extended and detailed documentation processes.
- Handling of L/Cs and tailored labeling.
- Intensive coordination due to longer lead times and country-specific requirements.
Education and Experience:
- High proficiency in English (written and spoken).
- Strong understanding of international trade regulations and export procedures.
- Experience with customs processes and compliance management.
- Background in Supply Chain / Logistics operations.
- Proficiency in SAP or similar ERP systems.
