- Meet with students to solve issues, offer advice, and/or give support on a daily and regular basis.
- Manage collaboration with class representatives in coordination with, and under the supervision of, Directors and Managers.
- Support students facing academic difficulties or overall challenges within the program experience.
- Support students in solving simple technical issues.
- Manage (written and oral) communication to students, including all written regular communications and information points; presentations and information sessions; etc. and communication of IE regulations (exemptions, attendance, exam dates).
- Track student performance and progress, and follow up throughout the program.
- Management of extracurricular and curricular internships.
- Identify candidates wishing to transfer to/from other programs, with the exception of academic credit recognition.
- Coordinate and attend class representative meetings, and prepare the corresponding reports.
- Liaise with professors to communicate specific student or group situations, request feedback, ensure timely submission of grades, syllabi, etc.
- Remind professors of key deadlines and follow up on pending items such as syllabi, grades, and meeting minutes.
- Support the Academic Directors in scheduling and organizing all faculty meetings, including room bookings, catering, and meeting minutes.
- Ensure an excellent student experience throughout the program by supporting professors in the delivery of sessions/exams (e.g., external proctoring service coordination, assisting with virtual classes, etc).
- Collaborate with other IE Departments – such as the Admissions Department, Marketing Department, Planning, Documentation, Student Services, Student Life, Registrar’s Office, Maintenance Dept., etc. – in order to ensure a successful student experience.
- Assist the Directors in the coordination and implementation of new curricular and extracurricular innovations.
- Collaborate in the organization and management of events and initiatives within the school, ensuring smooth logistics and effective communication.
- Manage the shared program mailbox by distributing incoming emails to the appropriate team members, ensuring timely responses, and follow up directly with team members as needed.
- Assist the Directors in the elaboration of the annual report and documentation for ANECA.
- Take ownership of special program components, areas, initiatives, and projects.
- Maintain and enhance academic guides and all other materials for students and faculty.
- Manage all non-academic aspects of the program on a day-to-day basis.
- Ensure all syllabi are uploaded and accessible to professors and students via the online campus.
- Generate, update and make program calendars available to Faculty and Advisors through the online Campus.
- Foster a learning community around course topics by maintaining regular communication with alumni, experts, and faculty.
- Administrative support for the development of innovative learning methodologies and tools.
- In collaboration with Academic Directors and internal Faculty, coordinate, organize, and schedule panels for final project presentations, and ensure that students, faculty, and advisors are informed of the dates.
- Strong proficiency in English, native preferred; Spanish proficiency helpful but not required.
- Excellent organization skills, detail-oriented and multi-tasking.
- Strong desire to work in a multicultural environment, enjoy interacting with students, and provide outstanding customer service.
- Basic knowledge of audiovisual equipment is an asset.
