- Support the company operations in Europe by maintaining the office systems and addressing employees queries
- Use a range of software, including email, spreadsheets, and databases, to ensure the efficient running of the office operations
- Maintain office and employee information using BambooHR and other systems and tools used for the HR operations
- Implement new administrative systems, such as record management
- Manage the office budget, including supplies inventory, and place orders when necessary
- Maintain the office layout and supplies of stationery and equipment
- Create, revise, and maintain office policies and procedures, and ensure they are implemented appropriately
- Coordinate chair meetings with staff and document meeting minutes
- Local and abroad travel coordination
- Work cross-department to ensure smooth collaboration across the company and a high-quality delivery
- Work closely with Sales and Marketing to coordinate and prepare logistics, travel, and administration for conferences, summits, training sessions, and other company events across Europe
- Identifying market trends/updates meant to ensure a better admin operation
- Create and present reports to management monthly
- 2-5 years of working experience in an administrative/office management role in a global company
- Experience with Google Workspace and Microsoft Office
- Experience in working with management or C-level executives
- Experience with coordinating travel arrangements
- Experience with invoices/payroll systems
- Experience with coordinating office and employee travel and events logistics
- Great attention to detail and analytical abilities
- Excellent organizational and time management skills, and ability to prioritize tasks
- A self-starter with the ability to work independently
- Excellent written and verbal communication skills in both English and Spanish. Advantage to additional EU language(s)
