- Collect and enter all new student information into the Student Information System (or equivalent academic and enrollment platforms), ensuring data accuracy and compliance.
- Create new admission periods, course periods, and courses in the Student Information System in coordination with IENYC stakeholders.
- Maintain and update accurate course codes and registration records.
- Set up student course registration processes and communicate registration timelines to students.
- Publish student schedules and manage ongoing schedule adjustments each term.
- Ensure the Student Information System is accurately configured to receive grades from the Learning Management System (such as but not limited to Blackboard) and coordinate with IT to troubleshoot system issues.
- Post and publish final grades and generate reports for academic leadership to support student progress evaluations.
- Process transcript requests for graduates and alumni, as well as changes to student records.
- Support the development of IEU’s Student Information System functionality, contributing feedback for system improvements.
- Assist in the printing and processing of diplomas in coordination with NYSED and the President’s Office.
- Provide support for accreditation-related tasks as needed.
- Coordinate with IEU academic departments to reflect curriculum requirements for 3+1 students.
- Coordinate the course calendar and its structure with the Program Directors
- Develop and implement the Program’s Master guidelines
- Collaborate with and support the Faculty assignment process together with the Academic Areas’ directors
- Schedule all academic and on-campus activities for the programs
- Monitor and manage all scheduling changes resulting from daily incidents
- Inform both faculty and students about schedules and any possible modifications
- Confirm financial clearance of students each term in collaboration with the IENYC bursary.
- Communicate directly with students regarding course registration, schedule changes, and record requests.
- Manage the IENYC Registrar’s Boxmail account to ensure timely and accurate responses to registrar-related inquiries.
- Serve as the point person responsible for maintaining and managing the historical database of the former university via FileMaker Pro.
- Bachelor’s degree in Education, Administration, Information Systems, or a related field in US
- MBA or equivalent program
- Fluent in English and Spanish (spoken and written)
- Minimum of 3 years of experience
- Strong organizational skills
- Analytical thinking, decision-making, planning, results orientation, teamwork, customer service, and negotiation skills
- Familiarity with U.S. and European higher education systems and academic procedures.
- Prior experience with academic accreditation processes.
- Experience working in multicultural, international education environments.
- Knowledge of SIS, Blackboard, FileMaker Pro, and/or other academic databases or platforms.
- Process-oriented mindset with a focus on continuous improvement.
- Ability to manage confidential data with discretion and integrity.
