Our undergraduate and graduate programs are fully taught in English and combine a multidisciplinary approach to professional education.The Global Experience Office (GEO) at IE University is responsible for the exchange programs of undergraduate students, including outgoing and incoming students, and for the relationship with over 230 top partner universities around the world. This position will be at the IE University Madrid campus at the IE Tower.The GEO assistant helps the department’s leadership and the outgoing coordinators with the operational activities required. It is also a point of contact with students and partner universities on a day-to-day basis. The assistant will carry out all administrative tasks necessary for the smooth running of exchange programs, as well as for the development and launching of new initiatives; the position will also be involved in the daily activities related to the Erasmus Program. They will also support the coordination with other academic and administrative units within IEU.The GEO assistant will report directly to the leadership of the Global Experience Office, under the Vice-Provost of Global Academic Partnerships & Alliances at the Provost Office.Why IE University?With 50 years of experience and founded by and for entrepreneurs, IE University has turned business education on its head through disruptive teaching. We are looking for a person to join a full-time position in Madrid, IE Tower.Responsibilities:Your role as an Assistant will involve:The candidate must feel comfortable working in a busy environment that requires multitasking and the ability to manage a high volume of work.The chosen candidate should enjoy interacting with students and being a team player. The most relevant tasks managed by the assistant include, but are not limited to:
  • Assist the Outgoing team with operational activities required for the undergraduate mobility program for IEU students studying abroad.
  • Attend and support the IEU outgoing students daily with questions related to their exchange program.
  • Manage a high volume of e-mails and respond on time to students' and partners’ queries.
  • Review and prepare documentation for students, and compile and update databases with students' and partners’ information.
  • Participate in the preparation of the department’s main events, such as Informative Sessions, the International Mobility Week, Call for Applications, etc.
  • Communicate with internal and external stakeholders (students, partner universities, bachelor programs, IEU departments).
  • Support the team in administrative tasks related to scholarships, such as the Erasmus Program.
  • Support other activities that may be assigned.
Qualifications:To thrive in this role, you should possess the following qualifications:
  • Bachelor’s Degree.
  • Proficiency in both English and Spanish, and excellent communication skills (oral and written).
  • A record of accomplishment of excellent customer service, organizational skills, and a “can-do attitude.
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint).
  • Eager to learn, adaptable to change, and have excellent teamwork skills.
  • Strong desire to work in a multicultural environment.
