- Monitor and manage the Legal Team shared inbox, ensuring queries are triaged, prioritised, and allocated appropriately to the lawyers.
- Act as the first point of contact for internal stakeholders on routine queries relating to the Legal Team's processes, contracts, and legal procedures.
- Track and coordinate incoming requests for legal support, allocating matters to team members in line with a rota, level of expertise required and workload.
- Maintain an overview of open queries, ensuring timely responses and follow-up.
- Manage, maintain, and continuously improve the company's contract management platform.
- Ensure all contracts and legal documents are uploaded, allocated, and retrievable.
- Support colleagues in using the system effectively and troubleshoot basic user issues.
- Assist with the administration aspects of the review and preparation of routine commercial contracts and standard terms of business.
- Provide administrative support for negotiations, contract execution, and archiving, where needed.
- Support the Legal Team in maintaining standard templates, precedents, and policies.
- Help ensure compliance with internal processes and corporate governance requirements.
- Maintain registers (e.g., NDAs, template usage, contract approvals) as required.
- Coordinate team meetings, prepare agendas, and take minutes where required.
- Assist with reporting (monthly/quarterly reports, KPIs, dashboard updates).
- Support training and knowledge-sharing initiatives within the business.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Familiarity with contract management or document management systems (training will be provided).
- Ability to work with databases, trackers, and reporting tools.
- Excellent attention to detail and accuracy.
- Strong organisational and prioritisation skills, with the ability to manage multiple tasks in a fast-paced environment.
- Effective communicator (written and verbal), confident in liaising with colleagues at all levels of the business.
- A proactive team player, flexible, and willing to learn.
- Discreet and professional, with a strong sense of confidentiality and integrity.
- Previous experience in a legal, compliance, or administrative role preferred, ideally within an international business.
- Strong written and spoken English is essential. Knowledge of an additional European language, particularly French or Spanish, is highly desirable.
- Exposure to reviewing legal or commercial documentation is an advantage but not essential; training will be provided.
